Before registering in Docata
Inform: Inquire about the admission procedure in your faculty before registering.
Secure supervision: You need the approval of a person authorized to supervise from your faculty.
Registration in Docata
You only need to register in Docata to apply for admission to the doctorate. The following individuals therefore do not need to register:
- Doctoral candidates who have already been admitted to a doctoral program and are enrolled in a doctoral program
- Reviewers and members of examination committees
How do I register?
Go to Docata and select Registration -> agree to the consent form.
If you already have an active UHH user ID (also known as a STiNE ID or B-Kennung) from the University of Hamburg, select IDM Account and log in with your UHH user ID. If this is not the case, please register as a user with one of your personal email addresses via Docata Account.
With a UHH user ID
If you already have an active UHH user ID (also known as a STiNE ID or B-Kennung) from the University of Hamburg, visit Docata, select Registration -> agree to Declaration of Consent, and choose IDM Account. You will log in there using your UHH user ID.

What email address will I receive emails at?
Please note that in this case, all emails from Docata will be sent to your UHH email address. There are no plans to switch to a private email address.
I see incorrect data on the registration form
Your data is imported from the RRZ user management. If corrections (first name, last name, date of birth) are necessary, please contact the Campus Center first (in case you are enrolled) and/or the Human Resources Department (if you are a UHH employee). Individuals who obtained their User ID via the application portal must correct the data via the application portal.
After registration, you will receive an email with a confirmation link. The link expires after 12 hours. Therefore, please check your UHH email address immediately after completing registration.
Without UHH user ID
If you do not yet have an active UHH user ID (also known as a STiNE ID or B Kennung) from the University of Hamburg, visit Docata, select Registration -> agree to Declaration of Consent, then choose Docata Account and register as a user using one of your personal email addresses.
After registration, you will receive an email with a link to set your password. The link expires after 12 hours. Therefore, check your emails immediately after completing the registration. Then click on the link in the email and set a password. Depending on your browser settings, you should close and reopen the browser or use the 'Refresh' function. Afterwards, you can log in.
Your login will be changed to your UHH user ID at a later date after you have enrolled in STiNE. We will notify you separately about this in due course.
Help with registration form
IDM Account: When you register with your UHH user ID, some information is already filled in. Only a few additional details are required.
Docata Account: If you register without a UHH user ID, here are some hints for certain fields.
- Email: Please enter one of your private email addresses here, which you check regularly.
- Gender: Please select “diverse” or “no information” only if this selection is also officially registered for you in the civil registry.
- Title: only enter if you already have a doctorate
- First name(s): Enter all first names as listed on your ID.
- Preferred first name: This is the name by which you will be addressed in Docata.
- Last name: Enter your full last name.
- Name affix: Providing this information is only necessary if your birth name differs from your last name.
I have not received a confirmation email from Docata, what next?
Please note that if you register using your UHH user ID, the emails will be sent to your email address @studium.uni-hamburg.de (for those enrolled at UHH) or @uni-hamburg.de (for UHH employees). The two email addresses are located on different servers.
Therefore, you must check your emails either via https://surfmail.rrz.uni-hamburg.de/ or https://exchange.uni-hamburg.de/. Login is done on both with the UHH user ID (so-called STiNE ID, B-Kennung) and the corresponding password.

For doctoral candidates:
Once you have successfully registered, you can log in to Docata.
Depending on your registration, your username is either your UHH user ID (known as the STiNE ID or B Kennung) or the email address you provided during registration.
Help with login
- Make sure you are on the correct Docata platform: https://docata.uni-hamburg.de. The MIN Faculty has its own Docata system: https://docata.min.uni-hamburg.de
- Make sure you have received a confirmation email from Docata and have confirmed your email address via the link.
- If you have forgotten your password, you can use the “Request new password” feature on the login page (this does not apply to logging in with your UHH user ID).
- If you registered in Docata with your B-ID but cannot log in, please test your login credentials by logging into the user management system. Please do not use saved login credentials; instead, enter the information manually. This should also work in Docata. If logging in to the user management system does not work, your ID has either been locked, deleted, or you are using the wrong credentials.
