Registration and Login
How do I fill out the registration form?
IDM Account (registration with UHH user ID): When you register with your UHH user ID, some information is already filled in. Only a few additional details are required.
Docata Account (Sign up with your personal email address): If you register without a UHH user ID, here are some hints for certain fields.
- Email: Please enter one of your private email addresses here, which you check regularly.
- Gender: Please select “diverse” or “no information” only if this selection is also officially registered for you in the civil registry.
- Title: only enter if you already have a doctorate
- First name(s): Enter all first names as listed on your ID.
- Preferred first name: This is the name by which you will be addressed in Docata.
- Last name: Enter your full last name.
- Name affix: Providing this information is only necessary if your birth name differs from your last name.
I see incorrect information on the registration form. How can I correct it?
If you register using a B-ID, your data will be imported from the RRZ user management. If corrections (first name, last name, date of birth) are necessary, please contact the Campus Center first (in case you are enrolled) and/or the Human Resources Department (if you are a UHH employee). Individuals who obtained their User ID via the application portal must correct the data via the application portal.
What email address will I receive emails at?
Please note that if you register using a B-ID, all emails from Docata will be sent to your UHH email address. This can be either @studium.uni-hamburg.de or @uni-hamburg.de. If in doubt, please check Surfmail and Exchange.
There are no plans to switch the correspondence email address to a private email address.
If you registered with your private email address - and have not yet been switched to the UHH user ID - this will be the correspondence address in the system.
I have not received a confirmation email from Docata, what next?
Please note that if you register using your UHH user ID, the emails will be sent to your email address @studium.uni-hamburg.de (for those enrolled at UHH) or @uni-hamburg.de (for UHH employees). The two email addresses are located on different servers.
Therefore, you must check your emails either via https://surfmail.rrz.uni-hamburg.de/ or https://exchange.uni-hamburg.de/. Login is done on both with the UHH user ID (so-called STiNE ID, B-Kennung) and the corresponding password.

I can't log in.
- Make sure you are on the correct Docata platform: https://docata.uni-hamburg.de. The MIN Faculty has its own Docata system: https://docata.min.uni-hamburg.de
- Make sure you have received a confirmation email from Docata and have confirmed your email address via the link.
- If you have forgotten your password, you can use the “Request new password” feature on the login page (this does not apply to logging in with your UHH user ID).
- If you registered in Docata with your B-ID but cannot log in, please test your login credentials by logging into the user management system. Please do not use saved login credentials; instead, enter the information manually. This should also work in Docata. If logging in to the user management system does not work, your ID has either been locked, deleted, or you are using the wrong credentials.

How can I change my name in Docata?
After registration, changes to your name information are not automatically transferred from STiNE or the HR database to Docata.
If your name needs to be added or changed in Docata, please contact our support team.
Please ensure beforehand that the relevant changes have already been recorded in the source systems:
- For students: Contact the Campus Center so that the changes can be entered into STiNE.
- For UHH employees: Please also report the changes to the Human Resources Department.
How can I upload my documents?
You can upload your documents along with your applications. In the application for admission to doctoral procedures or the application for the opening of the doctorate proceedings, you will find an option to upload the required documents after viewing the checklist.
If you forget to do so at this stage, you will not be able to upload documents to Docata for the time being. The ability to upload documents depends on the status of your doctoral file. Please submit any documents required for processing the applications directly to your administration office for doctoral studies as soon as possible.
Only if your doctoral file in Docata has the status “Registered user” or "Admitted" will you have the separate option to upload documents on your Docata homepage under “upload further documents”.
What does the status of my doctoral file mean?
Docata uses the following statuses for your doctoral file:
- Immediately after registering, you do not yet have a doctoral file and therefore no status.
- The moment you launch the wizard for the "application for admission to doctoral procedures" for the first time, a doctoral file with the status "Registered user" is created.
- After you have completed the "application for admission to doctoral procedures", the status changes to "Applicant".
- The Doctoral Committee decides on your admission. As soon as the administration office for doctoral studies has entered your official admission date, your file status changes to "Admitted".
- At the end of your doctoral program, you must submit the "application for the opening of the doctorate proceedings" (submission of the dissertation). As soon as the administration office for doctoral studies enters the official date for the initiation of the process, the status will change to "Examination procedure opened".
- If your doctoral program is discontinued or rejected without completion, the status "Abgelehnt/Abgebrochen" will be assigned.
After that, you will not need to take any further action in Docata as a doctoral candidate.
The following statuses are also used by the administration office for doctoral studies:
- Successfully completed (interim): Upon entry of the date of completion of the process.
- Successfully completed: After the certificate has been issued and the corresponding date has been entered in Docata.
How do I request an extension of my doctoral procedures?
To extend your doctoral procedures, you will find the "Application for an extension of the doctoral procedures" on your Docata home page, which you can submit by clicking the "Start the application for extension" link there.
To see this link, your doctoral file must have the status “Admitted”. You cannot submit the application before you are admitted.
Once you have completed the application, the link will disappear from your home page. Unfortunately, you cannot view your submitted application, but it will be forwarded to your administration office for doctoral studies for processing. You may submit another application as soon as the previous one has been deleted, accepted or rejected by the administration office for doctoral studies.
If the status of your doctoral file is incorrect, please contact your administration office for doctoral studies.

How can I apply for admission to another doctoral procedure?
If you have already submitted an application for admission to a doctoral procedure, you cannot create another application in Docata.
If you would like to apply for another doctoral procedure, please contact our support team. They can create an additional doctoral student file for you, which you can then use to submit another application.
This may be necessary, for example, in the following cases:
- You have discontinued your doctoral studies and would like to begin a new doctoral program.
- Your application for admission to the doctoral procedure was rejected, and you would like to submit a new application.
- You would like to begin another doctoral program in parallel with your existing one.
- You have already completed a doctoral degree and would like to pursue another one.
